EPIC Summit 2021 Terms & Conditions

TERMS AND CONDITIONS

By registering for and/or attending the EPIC International Summit, you agree to be bound by, and comply with, these Terms and Conditions. It is your responsibility to read and understand these Terms and Conditions. EPIC Impact Society, Inc. owns and operates the EPIC International Summit (both shall herein collectively and singularly be referred to as “EPIC”).
 

Registration and Payment.
The payment of the applicable fees for EPIC conference is due upon registration. If such payment is insufficient or declined for any reason EPIC may refuse to admit you to the EPIC conference. Conference registrations will not be confirmed until your completed form is received and your full payment is processed, received and immediately available to EPIC. You should obtain an email confirmation of your registration before committing or booking any travel arrangements. Once you have completed your registration, you will receive your registration confirmation by
email. Please ensure that your valid email is entered correctly on the registration form. Be sure to check your junk email box to in case any of your EPIC email(s) are caught by spam filters.

You will receive essential information for registered attendees electronically at the email address and mailing address that provided on your registration form. In addition, you will also begin to receive periodic EPIC emails if you were not previously on our mailing list. If you prefer to opt-out of any of these benefits, please email: info@epicsummit.com

Your registration entitles you to admittance to the EPIC International Summit event (September 30 - Oct 2, 2021). Any and all other costs associated with your attendance (including without limitation: travel, lodging and other accommodation expenses) shall be borne solely by you and EPIC International Summit shall have no liability for such costs.

Cancellation and Substitutions.
Attendee changes or substitutions made to any attendee registration can be done at
no additional fee until the first date of the EPIC conference. There will be no adjustments made to registration rates once your form has been submitted to EPIC. No cancellations will be accepted. Substitutions (subject to availability) may be arranged at the sole and absolute discretion of EPIC. If you do not cancel and do not attend, you are still responsible for payment. Substitutions (subject to availability) may be arranged at the sole discretion of EPIC. You acknowledge and agree that EPIC, in its sole and absolute discretion, reserves the right to change any and all aspects of the EPIC conference, including but not limited to, the event name, themes, content, program, keynotes and speakers, performers, hosts, moderators, venue, and time. EPIC does not warrant or guarantee that the EPIC conference will take place on the scheduled days, time and location for reasons beyond EPIC’s control, including, but not limited to unforeseeable acts, omissions or events, force majeure, mudslides, fires, acts of God and any other situation that would cause danger to you or the public at large. In the event that the EPIC conference is cancelled, EPIC and it’s agents, employees, independent contractors, directors, officers and members will not be responsible for any refunds for the event, nor any expenses associated with and including, but not limited to, your travel, lodging or other accommodation. In the event a keynote speaker or workshop speaker is unable to perform for any reason, you agree and acknowledge that your registration fee, any and all costs associated with your travel, lodging and accommodation and any and all other expenses incurred by you are non-refundable.

 

Soliciting of Attendees/Suit-casing.
“Suit-casing" refers to the unethical and parasitic business practice of attending a trade show only to “work the aisles” from a suitcase or briefcase, soliciting business from other attendees and exhibitors. For the good of the EPIC conference attendees, the exhibitors supporting the show, and the venue, the only legitimate place to conduct business during show hours is within a contracted exhibit space on the venue property. Exhibiting companies are encouraged to protect their investment and report any violations to EPIC management. Attendees observed soliciting business in the aisles or other public spaces, or in another company’s booth will be ejected and removed from the event and may be banned from future events in EPIC’s sole and absolute discretion.

Disruptive Conduct.
You acknowledge and agree that EPIC may remove any individual whose behavior is a disruption, creates a disruption, or otherwise hinders the EPIC conference or the enjoyment of the EPIC conference in any manner by other attendees and participants. This includes unsolicited practices. Election for removal shall be exercised in EPIC’s sole and absolute discretion. All EPIC badges are the property of EPIC and must be returned to EPIC upon request.
 

Photography, Recording, and Videotaping.
By attending EPIC, you hereby agree and hereby grant EPIC the sole right to record, film, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use, or otherwise globally disseminate, in perpetuity, such media without any further approval from you or any compensation whatsoever to you. This agreement and granting of rights to EPIC includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use or disseminate the media in EPIC’s sole and absolute discretion. Attendees may not record audio or video of workshops, keynote sessions or awards ceremonies at the EPIC conference. EPIC allows cameras in designated exhibiting areas only. Attendees may take pictures within the event for purposes of company or annual reports, company media pieces, or marketing materials, etc. All such recording, photography, or other capture shall be subject to EPIC review and discretion.
 

Unethical/Non-Compliant Marketing.
EPIC reserves the right to deny admission to anyone who engages in or is reputed to engage in unethical or non-compliant marketing practices.
 

Taxes.
The fees may be subject sales tax, value added tax, or other taxes and duties which, if applicable, will be charged to you in addition to the EPIC conference registration fees.
 

Privacy.
EPIC is committed to protecting the privacy of its attendees. EPIC does not rent, share, or sell your contact information or other personal information to any third parties outside of the companies exhibiting at the event. All intellectual property rights in and to the EPIC content, and all materials distributed at or in connection with the EPIC conference, by EPIC sponsors or EPIC speakers presenting at the conference are the property of EPIC. You may not use or reproduce or allow anyone to use or reproduce any content, trademarks or other intellectual property appearing at the EPIC conference, or in any EPIC event, or any content or in any materials distributed at or in connection with the EPIC conference for any reason without the express prior written permission of EPIC. Your registration nor anything herein shall give you any legal or beneficial right in or to the intellectual property, trademarks or other property rights owned or licensed by EPIC or any of its affiliates. Nor do you have any right or license to any other intellectual property rights of EPIC or its affiliates, all of which shall at all times remain the exclusive property of EPIC and affiliates.

Non-Discrimination policy.
EPIC is committed to providing an inclusive and welcoming environment for all. Discrimination on the basis of race, color, religion (creed), gender, gender expression, age, national origin (ancestry), disability, marital status, sexual orientation, or military status, is not tolerated at the summit.
 

Disclaimer of Warranties, Limitation of Liability.
EPIC gives no warranties in respect to any aspect of the EPIC conference or any materials related thereto or offered at the EPIC conference. EPIC further disclaims all implied warranties, including but not limited to warranties of fitness for a particular purpose, accuracy, timeliness, and merchantability. Selection of speakers and other summit presenters are made based on professional merit, availability, and alignment with EPIC core values: Experiential Learning, Pause, Ingenuity, and Community Engagement. EPIC is not responsible for the independent opinions and ideas presented by guests including speakers, workshop leaders, and other participants, that may not reflect EPIC core values. The EPIC conference is provided on an “as-is” basis. Neither EPIC nor its affiliates accept any responsibility or liability for reliance by you or any person on any aspect of the EPIC conference or any information provided at the EPIC conference. Except as required by law, neither EPIC nor its affiliates shall be liable for any direct, indirect, special, incidental, or consequential costs, damages or losses arising directly or indirectly from the EPIC conference or other aspect related thereto or in connection with your registration. The maximum aggregate liability of EPIC for any claim in any way connected with, or arising from, the EPIC conference or your registration, whether in contract, tort, or otherwise (including any negligent act or omission), shall be limited to the amount paid by you to EPIC.
 

Sever-ability.
If any one or more of the provisions contained in these Terms and Conditions, for any reason, held to be invalid, illegal, or unenforceable in any respect, that invalidity, illegality, or non-enforceability will not affect any other provision.
 

Miscellaneous.
Capacity is limited to approximately 200 participants. The capacity number is subject to change without prior notice in Epic’s sole discretion. EPIC’s failure to exercise any right provided for herein shall not be deemed a waiver of any further rights hereunder. EPIC shall not be liable for any failure to perform its obligations hereunder where such failure results from any cause beyond EPIC’s reasonable control.
 

Entire Agreement.
These Terms and Conditions are the entire and final agreement of the parties. It is the complete and exclusive expression of the parties’ agreement about the subject matter of this agreement. All prior and contemporaneous communications, negotiations, and agreements between the parties relating to the subject matter of this agreement are expressly merged into and superseded by this agreement. The provisions of this agreement may not be explained, supplemented, or qualified by evidence of trade usage or a prior course of dealings. Neither party was induced to enter this agreement by, and neither party is relying on, any statement, representation, warranty, or agreement of the other party except those set forth expressly in this agreement. Except as set forth expressly in this agreement, there are no conditions precedent to this agreement’s effectiveness.


This Agreement is not assignable, transferable or sub-licensable by you except with EPIC’s express prior written consent. This Agreement shall be governed by the laws of the State of California and the parties shall submit to the exclusive jurisdiction of the California courts. A party that substantially prevails in an action brought under this Agreement is entitled to recover from the other party its reasonable attorneys’ fees and costs. No agency, partnership, joint venture, or employment is created as a result of this Agreement and you acknowledge that you do not have any authority of any kind to bind EPIC in any respect whatsoever. In addition to this Agreement, if you are an Exhibitor/Sponsor for the EPIC conference, you agree to the additional terms and conditions as part of your exhibitor contract. Any questions regarding
